Odoo Employee Contract Management

Odoo Employee Contract Management : Every organization consist of employee which require a proper agreement between the company (Employer) and the employee. There are various details consist of number of work hours/ days, Pay scale, deductions, roles, responsibilities, duties, reporting structure and so on.. A proper employee contract management helps Human resource department to streamline various details such as department, job position, terms and condition, work duration etc.

In this blog post we will understand how Odoo Employee contract management process flow and how you can configure it for your HR department but before that lets understand why Odoo contract management module is important for your business.

Importance Employee contract management

Human resource department of any organization consist of various task and duties with respect to every employee of the organization. Creating employee contract for different range of employees can be tedious as every employee duties, responsibilities, pay scales are different.  A proper contract management tool helps HR with proper documentation and automation.  With Odoo Employee contract module you can streamline the Workflow and assists HR personnel to create contracts with company policies and apply special clauses, suitable to each employee’s job description and role.

This avoids employee claims due to their contracts, which is being drafted in too similar terms to those of other employees. The solution also enables HR to track contractual changes during contract review and obtain approvals through automated workflows.

Creating contracts in Odoo is simple. within few clicks you can automate and create contracts, to initiate this module you need to first install the employee module from the database as showed in the below image:

After installation of employee module you can start creating the employee – in the below image you can see there are already employees created.

You can fill all the necessary details, and after creating the Employee successfully click on Contract.

After entering all the information you can Contract Reference, Employee Name, Department, Job Position, Contract Type, Salary Structure and Other Information then click on Save

You can fill all the required fields like Structure Type, Country, Wage Type, Default Scheduled pay, Default Working Hours, Default Work Entry Type and click on the Save button.

After that you can click on the structure button at the right corner to create the new salary structure of the employee.

Clicking on the structure button you can create the salary structure of the employee. You can fill the following details like scheduled payment will be monthly/quarterly/annual basis. After selecting the salary rule as per your need and standard.

You can add new salary rules by clicking on the salary rule button. Fill in all the information tab then click on the Save & Close button.

Add the timing for each Day of the week and also you can include Contract Terms such as start date, end date, end of the trial period, working schedule, and scheduled pay.

  • Start Date: It indicates the start dates of the contract.
  • End Date: It indicates the end date of the contract.
  • End of Trial Period: It indicates the ending date of the contract trial period.
  • Working Schedule: It indicates the employees day-wise working time and global leaves.

These terms will consider while creating the payslip.

Under Contract details tab you can fill all the details of the Contract Terms like start date, end date, end of trial period, working schedule, HR Responsible, new contract document template, etc.

Below the Salary Information tab, you can fill all the details of the salary like wage type, wage, etc.

The above employee contract management module screen shot is from Odoo version 13 – the functionalities in the latest version and older version would be somewhat similar.
